Roadtrip is a custom-built property management software for a large timeshare resort group. The goal was to replace an old manual system with a simple, digital solution. It now helps two types of users:
Timeshare owners – to manage their bookings and entitlements.
Resort administrators – to manage property inventory, rentals, and owner accounts.
The primary challenges were rooted in the unique complexities of the timeshare industry:
Complex Entitlement Logic: The system needed to accommodate various ownership types (e.g., fixed week, floating week, points-based systems) and their specific rules for booking, banking, and borrowing.
Real-time Inventory Management: Preventing double-bookings was critical. The platform had to manage and sync availability across owner stays guest bookings, and rental listings in real-time.
Data Security and Privacy: The platform would handle sensitive owner data, including contracts and financial information, requiring robust security measures.
Secure Owner Portal: A dedicated dashboard for timeshare owners to view their ownership details, manage their points/weeks, make bookings, and pay maintenance fees online.
Dynamic Booking Engine: An intuitive booking system with a real-time availability calendar, allowing owners to reserve their stays according to their specific entitlement rules.
Integrated Rental Marketplace: A feature enabling owners to easily list their unused weeks for rent, which are then displayed on a public-facing booking portal.
Administrator Management Dashboard: A comprehensive backend for resort staff to manage all aspects of the timeshare operation, including owner accounts, property inventory, maintenance fee billing, and reporting.
Step 1: Set up the development process
We followed an Agile, sprint-based approach. This helped us stay flexible and adjust quickly as the project evolved.
Step 2: Build the backend
We used Laravel to build the backend. Its MVC structure made it easier to manage the complex business logic around timeshare rules, bookings, and ownership types.
Step 3: Design the database
We created a custom database schema to map the relationships between owners, properties, booking calendars, and entitlements.
Step 4: Develop the frontend
The frontend was built as a Single-Page Application (SPA) using Vue.js. This gave users a fast, smooth experience without full-page reloads.
Step 5: Connect frontend and backend
We used RESTful APIs to let the Vue.js frontend talk to the Laravel backend. All data updates and actions were handled through these endpoints.
Step 6: Add real-time updates
Laravel WebSockets was used to push instant updates. Like booking confirmations and rental inquiries. Straight to the user’s dashboard. No need to refresh the page.
The Roadtrip platform successfully digitized the client’s entire timeshare management process, yielding significant improvements.
